Brighter Futures respects your privacy and takes care with the personal information you share with us. This notice explains what information we may collect, why we use it and the choices you have.

Brighter Futures is a not-for-profit community organisation supporting adults in East Sussex through creative, social and wellbeing activities.

Information we may collect
The information we collect will depend on why you contact us. It may include:

An enquiry about one of our services may contain information about your health or personal circumstances. This is sensitive information and will be treated with particular care.
We do not need a detailed account of a person’s experiences in order to respond to an initial enquiry. Please provide only the information that is necessary and that you feel safe sharing.
Why we use your information
We may use personal information to:

We will not use information provided in a confidential service enquiry to send general publicity or fundraising messages unless you have separately asked to receive them.
Our legal reasons for using your information
We use ordinary contact and administrative information where it is necessary for Brighter Futures’ legitimate interests in responding to enquiries and organising its activities. We consider the person’s privacy, safety and reasonable expectations before doing so.
Where we need to use sensitive information about your health or personal circumstances to consider or support your participation, we will ask for your explicit consent. You may withdraw that consent, although this may mean that we can no longer make particular arrangements or provide an activity safely.
We may also use or share information where the law requires us to do so, or in exceptional circumstances where this is necessary to protect someone’s life or safety.
Separate consent will be requested before using an identifiable photograph, quotation or personal story in publicity, reports or funding applications. Saying no will not affect your access to our activities.
Safe and confidential contact
People enquiring about the Creative Recovery Group can tell us how it is safe to contact them. We will use only the contact method selected and will follow any instructions about voicemail, text messages or naming Brighter Futures.
We will not share an enquiry with a partner, relative, friend or other person merely because they ask for it.
We may need to act differently if we believe that someone is at serious and immediate risk, if there is a safeguarding concern, or if we are legally required to provide information. Wherever it is safe and appropriate, we will explain this to the person concerned.
Exact meeting locations and session details for confidential activities are shared privately only with confirmed participants or referring professionals.
Referrals from professionals
If a professional or community organisation contacts us about someone else, the referrer should tell that person and share only information that is relevant and necessary.
Where appropriate, Brighter Futures will contact the individual directly, provide access to this privacy notice and confirm whether they wish to continue with the enquiry.
Who may see your information
Personal information will be available only to Brighter Futures trustees, staff, volunteers or activity leaders who need it for their role.
We may also use trusted service providers to operate our website, email and administrative systems. Wix provides and hosts our website and online forms. These providers may process information on our behalf but are not permitted to use it for their own unrelated purposes.
We may share limited information with a referring professional where you have agreed to this. We may also share information with an appropriate statutory, safeguarding or emergency service where this is required by law or necessary to respond to a serious risk.
We do not sell personal information.
How we protect your information
We take reasonable steps to keep personal information secure. These include limiting access to people who need the information, using password-protected systems and avoiding unnecessary collection of sensitive details.
No online system can be guaranteed to be completely secure. If we become aware of a data breach that is likely to affect you or place you at risk, we will take appropriate action and contact you where required.
How long we keep information
We normally keep an enquiry for no longer than six months after our last contact if the person does not join an activity. Expressions of interest may be retained for up to 12 months so that we can provide an update if an activity becomes available.
Information needed to support someone’s participation will normally be kept while they are involved with Brighter Futures and for up to 12 months afterwards. We may retain particular records for longer where this is necessary for safeguarding, insurance, financial or legal reasons. When identifiable information is no longer needed, it will be securely deleted or anonymised.
We review the information we hold regularly and do not retain personal information indefinitely.
Mailing lists and updates
If you choose to receive news or updates from Brighter Futures, we will use your contact details for that purpose only. You can unsubscribe or change your mind at any time by contacting us or using the unsubscribe option included in an email.
Joining a mailing list is separate from making a service enquiry. We will not add you automatically because you have contacted us about an activity.
Your rights
Depending on the circumstances, you may have the right to:

ask what personal information we hold about you;

ask us to correct inaccurate or incomplete information;

ask us to delete information;

ask us to limit how information is used;
